Searching for Current On-Call Assignments in the Search Screen

Information for current and future active on-call assignments, as well as on-call assignments for the previous seven days, can be accessed from Smart Web. An on-call assignment is considered active if the end date of an assignment is within the previous seven days from the current date.

Information about completed scheduling assignments is considered historical data, and is not included when searching for active on-call assignments.

When the on-call assignments Search screen is accessed, the date period that is shown by default is a month period beginning with the current date and ending 30 or 31 days into the future. All on-call groups are listed in the Search Results section, and the on-call groups that have assignments scheduled for the time period specified display in blue. When an on-call group is selected, the date and time on which the selected schedule was last changed displays at the bottom of the screen.

NOTE: The active on-call assignments for one day can be reviewed in the Today screen. The Today screen shows the on-call assignments for one specific day, which is the current day by default. A different date can be selected for display, and you can also choose to display a specific on-call group. Searching for an On-Call Assignment in the Search Screen

Searches for assignments can be done by a specific time period, for a specific on-call group, or for a specific person. A search that combines more than one type of search can be done to further limit the assignments found.

The on-call assignments for an on-call group can be viewed as a list or displayed in a calendar format, which shows all of the on-call group’s assignments for an entire month. The calendar can be displayed in a printable version, which can then be printed.

The on-call assignments can be saved as a Microsoft Word or Excel file. Note that these applications must be installed on the PC before the file can be saved in either of these formats.

 

 

Searching for an On-Call Assignment in the Quick View Screen

Searches for an on-call assignment can also be done in the Quick View screen if you are using the Quick View list feature. A Quick View list is a set of on-call groups selected for the logged-in user that the user normally works with. In the Quick View screen, only the on-call groups included in the logged-in user’s Quick View list are included in the list of available on-call groups in the Search Results section.

Viewing Instructions for an On-Call Group

Instructions of the SMART WEB instruction type that have been assigned to the on-call group in Smart Center can be viewed in Smart Web using the blue “I” icon. Depending on how your system is configured, the instruction can be displayed using one of the following methods:

      Hover the cursor over the blue “I” icon next to the on-call group name to display the instruction as a tooltip.

      Click on the blue “i” icon next to the on-call group name. The instruction displays in a pop-up window. Click on the X button to close the pop-up window.

 

 

Scheduling Exception Icons

REFERRAL and COVERAGE scheduling exceptions assigned to a person or function currently on-call are represented by icons in the Today screen.

By default, Smart Web is configured to not allow a person or a function assigned an exception to be paged. However, your system may be configured to allow the operator to take a message for that individual that can be retrieved at a later time by an operator or by that individual in the Personal Profile screen in Smart Web.

NOTE: If a person or function is assigned the PAGE BLOCK exception, that person cannot be assigned to an on-call shift for any time when the PAGE BLOCK exception is active.

This icon signifies that the person or function is being covered by another individual.

Depending on how your system is configured, the operator is either not allowed to page the person or is allowed take a message for the individual.

When the operator is not allowed to page the person, a message dialog displays, explaining that the individual is being covered by someone else. You can click the OK button to choose to page the person providing coverage.

 

 

Referral

This icon signifies that the person or function has been assigned a referral exception. A referral phone number for the person displays.

Depending on how your system is configured, the operator is either not allowed to page the person or is allowed take a message for the individual.

When the operator is not allowed to page the person, a message dialog displays, explaining that the individual has a referral exception. The individual cannot be paged. Click the OK button to close the dialog.

 

 

 

Historical On-Call Assignment Information

Information about completed scheduling assignments is called historical information. Historical on-call information consists of any on-call assignments that had an end date prior to the previous seven days. For example, if the current date is November 14, any on-call assignments that ended on November 6 or earlier are considered historical on-call assignments.
