Scheduling Assignments in the Scheduler View

Searching for Current On-Call Assignments for an On-Call Group

The on-call assignments for an on-call group can be displayed in the Scheduler Assignment screen. By default, the start and end dates and times begin with the current date and time and end 7 days later.

The on-call assignments can be searched for by date, on-call group name, or on-call group messaging ID. You can search using only one search criterion or a combination of any of the search criteria. Note that only the on-call assignments that match all of the search selections are included in the search results.

The search time period can be changed from the default time period. The default time period is 7 days, beginning with the last day of the previous month. When choosing a time period, the start date and time must be entered. The end date is selected by either entering an end date and time, or specifying the length of the time period.

When the search results are displayed when searching by a date or by an on-call group, all of the on-call groups are included in the search results, and those on-call groups that have an on-call assignment scheduled during the time period specified are displayed in blue. When an on-call group displayed in blue is selected, on-call assignment information for the members of the on-call group is listed in the screen.

The list of on-call assignments for an on-call group can be displayed in a list or as a calendar using the Calendar/Scheduler toggle button. The calendar view shows all of the on-call assignments for the entire month. The scheduler view shows the assignments in a list.

 

Changing the Start and End Dates

The date range selected for in the screen can be changed from the default. The default date range is the current month, starting with the current day. The start date for the date range can be manually entered or selected from a calendar. The end date is determined by either manually entering an end date or selecting it from a calendar, or by entering a time period in the Period field. The time period is measured in days.

When you enter a time period in the Period field, the end date displayed in the end date fields is grayed out and ignored. Note that the new end date, as determined by the time period entry, is not displayed in the end date fields.

1.  Access Smart Web.

2.  Choose the On-Call tab.

3.  Choose the Scheduler Assignment tab and log in if required. The default date period of seven days, beginning with the current date is shown. All on-call groups are listed in the Search Results section, and the on-call groups that have assignments scheduled for that time period display in blue.

If the Start Date and End Date fields do not display, click the Scheduler button to change the assignments view from the calendar view to the scheduler view.

4.  An on-call calendar that has on-call groups beneath it in a parent/child relationship has a plus sign next to the on-call group name. Click on the plus sign icon to display all the on-call groups in the hierarchy.

5.  In the Search Results section, click on the name of an on-call group displayed in blue to display the on-call assignments for the time period specified.

Note that the active assignments display with a green background, and that the on-call group hierarchy and name display above the list of assignments.

Note also that you can scroll to the right of the screen to display more fields for the shift assignments.

 

 

6.  The search date can be changed by changing the start and end dates, or by changing the entry in the Period field.

a.  In the Start Date fields, manually enter a new date. You can also click the calendar button to select a date from a calendar.

b.  In the Start Date time field, enter a new time. Be sure to specify AM or PM. The time format is HH:MM AM.

c.  Specify the end date. You can either manually enter an end date and time in the End Date fields or use the calendar button to select an end date from a calendar. The time format is HH:MM AM. As an alternative, you can specify a time period in the Period field. The time period is measured in days. Note that if you enter a time period the End Date fields are grayed out.

d.  Click the Search button to update the on-call group display in the Search Results screen.

e.  Click on an on-call group displayed in blue to display the on-call assignments for that group for the time period specified.

 

 

7.  An on-call group can be searched for by on-call group name, by on-call group ID, or by both. Enter a partial or full on-call group name in the Group Name field, a partial or full on-call group ID in the Group ID field, or both. Using both fields further limits the search results.

a.  Enter the search criteria in the Group Name and/or the Group ID fields.

b.  Click the Search button to update the on-call group display in the Search Results screen.

c.  Click on an on-call group displayed in blue to display the on-call assignments for that group for the time period specified.

 

 

8.  The following actions can be performed on the on-call assignments listed in the screen. Depending on whether you searched for a person, not all of these options are available.

      Quick List/All Groups Button: Click the Quick List button to display only the on-call groups selected for the Quick View list for the user currently logged in to the Search Results section of the screen. The Quick List button toggles with the All Groups button. Click the All Groups button to display all of the on-call groups in the Search Results section of the screen.       Hide Tree/Show Tree Button: Click the Hide Tree button to hide the Search Results section. The Hide Tree button toggles to the Show Tree button, which is clicked to re-display the Search Results section. For an example, please refer to Hiding the Search Results List.

      Calendar/Scheduler Button: Click the Calendar button to display the on-call assignments is a calendar format. The Calendar button toggles to the Scheduler button, which is clicked to re-display the assignments in the list format.       Instruction Button: Click the Instructions button to display the Smart Web instruction assigned to the on-call group. You can also create a new instruction or update the current instruction. For more information, please refer to Viewing and Updating an Instruction for an On-Call Group.

      Word Button: Click the Word button to save the on-call assignments as a Word document. For more information, please refer to Saving a Schedule of Assignments as a Word Document.

      Excel Button: Click the Excel button to save the on-call assignments in as an Excel spreadsheet. For more information, please refer to Saving a Schedule of Assignments as an Excel Spreadsheet.

      Print Button: Click the Print button to display a printable version of the list of on-call assignments. For more information, please refer to Printing the Assignments.

9.  Assignments shown in the screen can be updated or deleted, and, new assignments can be added.

      An on-call assignment scheduled to occur at a future date and time can be changed. For more information, please refer to Updating an On-Call Assignment.
