Working with Patient Information

The Patient Info tab in Smart Web enables a user to review patient information in the Smart Center database. The Patient Info tab shows the patient’s name, patient ID, birth date, whether they are alive, and whether information about the patient can be shared. No changes or updates can be in the Patient Info tab.

The patient information in the Smart Center database derives from the PATIENT table, which is populated by either a standard HL7 (Health Level 7) application, which is an outside database that feeds patient data into the PATIENT table, or by manual entries into the Patient and Patient Extensions forms in Smart Center.

NOTE: The HL7 feed is required when using the Patient Info tab.

Patient Information Access and Security

The Patient Info tab can only be accessed by the users to whom patient information access rights have been assigned. The access rights are assigned to a user by choosing the Allow Viewing Patient Data option in the user’s listing record in Smart Center. This option must be selected for each user that should be able to access the Patient Info tab.

Accessing the Patient Info tab requires a Smart Web user name and log in. After the user logs in during a browser session, all screens that require a user name and password are available. If the user logs out of Smart Web, or if the browser session times out, the user will have to log in again.

 

Color-Coded Patient Information

The background color for each row of patient data displayed in the screen is color-coded to easily alert the user of important patient information. The default colors are:

      Pink: The background of a row displays in pink if the patient prefers that limited or no patient information should be shared. The phrase “No Information” or “Limited Information” displays for the record.

      Yellow: The background of a row displays in yellow if the patient is deceased.

      White: The background of a row displays in white if all patient information about the patient can be released.

NOTE: Whether patient information can be shared has precedence over whether the patient is deceased. For example, the record for a deceased patient that had chosen to share limited information displays in pink. The record for a deceased patient for whom all information can be released displays in yellow.

The colors are configurable, and can be changed from the default. Please contact your Spok representative for information about changing the display colors.

 

 

 

Displaying Detailed Patient Information

Detailed information about a selected patient can be displayed in a separate screen., such as physician and nurse station information, patient address, age, gender, and restrictions, and admit and discharge dates. No changes or updates can be made in this screen.

 

Limiting Access to Patient Information to a Specific Facility in Smart Web

Smart Web can be configured to limit the patient records the operator can access to only those records in a specific facility. The facility is assigned to a patient record in the HL7 feed or in the Patient form in Smart Center.

The facilities used in the patient records can be linked to a COG (Controlling Operator Group) in the Facility COG form in Smart Center. In this form, you can enter each facility and specify the associated COG.

Each operator can then be assigned a COG in the Listings form in Smart Center. When the operator logs into Smart Web, the system notes the operator’s COG and the facilities associated with that COG. When the operator accesses the Patient Info tab, only the patient records assigned the facilities associated with the operator’s COG are available.

Using a COG Associated with a Smart Web Skin File

When using the Facility COG form to limit access to patient records, be aware that if you have also assigned a Smart Web skin file to the COG in the Controlling Operator Groups form, the look and feel of Smart Web may change. For example, the skin file may specify a unique logo or colors.

 

Using the COG Selection Feature Combined with Limiting Access to Patient Records

Some Smart Web systems may be configured to select a specific COG (Controlling Operator Group) when Smart Web is launched or a user logs in. The COG list box is in the top right corner of the Smart Web screen. The user is allowed to select a different COG and have access to the records for that COG.

IMPORTANT: If this feature is used in conjunction with the limiting access to the patient records by facility and COG combination, be aware that the patient records can no longer be limited to the user’s COG and facility combination. The COG list box enables the user to select a different COG from the list box and thus be able to view patient records for the newly selected COG in the Patient Info tab.
