Sending a Page to Multiple Recipients

A page can be sent to any set of people, functions, on-call groups, message groups, and personal message groups selected in the Paging screen. As the page recipients are selected, the recipients display in the Recipient List section. When an on-call group is selected, the people currently on-call are included in the recipient list.

A search feature is available, which limits the individuals and groups that can be selected. A person can be searched for by name, messaging ID, pager ID, or department. Any combination of the search fields can be used. A message group, function, or on-call group can be searched for by name or messaging ID.

During the process of selection, if an individual is selected more than once, the individual’s name is included in the list only once. This ensures the individual is not sent multiple identical pages. For example, if Susan is selected as an individual recipient and is also a member of a selected message group, Susan’s name is included only once in the recipient list and only receives one page.

NOTE: When paging an on-call group, message group, or personal message group member on a device that is registered with Spok Mobile, note that if there are any attachments to the message, such as a picture, the message will not be sent. For best results, do not add attachments to a message that may be sent to a Spok Mobile device.

Selecting Recipients

When a message group or on-call group is selected, the name of the group displays in the recipient list. The names of the individuals in the group which will be paged can be displayed. When a personal message group is selected, the individuals in the group are included in the recipient list, and not the name of the group.

If a person cannot receive a page when the page is sent, the page is sent and is stored as a message with an operator. The page recipient can also retrieve the message from their Personal Profile screen.

 

Reviewing Paging Restrictions

Any paging restrictions for the people and functions are handled when the individual is selected, and not when the page is sent. A recipient may have restrictions that cannot enable them to receive a page, such as a page block or referral exception, or require a password if the recipient is using RAP (Restricted Access Paging). For these situations, message and password dialogs display.

For example, if a person has a Restricted Access Pager (RAP), the RAP password is entered when the person is selected. If an individual has a currently scheduled exception such as a referral number or a page block, a warning message displays to allow the user to choose to store a message rather than send a page, or to not include the person in the list of recipients.

Paging an On-Call Group

When an on-call group is selected as a page recipient, only the individual(s) currently on-call is paged. If more than one individual is on-call, all individuals on-call are paged. If no one is currently on-call for the on-call group, the on-call group cannot be selected as a page recipient.

Page Type Selection Process

When multiple recipients are selected, note that not all of the page recipients have the same type of pager, and some may only be able to receive a message. When this happens, the most limited type of page is automatically sent. If at least one recipient has a numeric type of pager, then only a numeric message can be sent. If the recipients all have alphanumeric pages or can only receive messages, then an alphanumeric page is sent. The page is stored with the operator as a message for those recipients who are not pageable.

 

Paging using the Smart Web Message Priority Feature

If your system has been configured to use the message priority feature and if the person logged in to Smart Web is allowed to use this feature, the Priority list box displays in the Compose a Message screen when sending a page. The user is able to select a message priority option which is used to determine the order for the message in the paging queue. If the paging device to which the page is going to be sent is registered with Spok Mobile the message priority also determines the ring tone that is played on the device when the message is received.
