Understanding the Paging Icons and Profile Colors
The icons in the Paging screen represent the people, functions, and groups that can be selected when sending a page. A user’s personal message groups are represented by an icon in the Personal Message Groups section.
Each type of individual or group record is also displayed in a specific color. The default colors can be changed for your organization. Please contact a Spok representative for help configuring the record colors.
Exceptions, such as providing coverage or a page block are also represented by an icon.

Individual Person |
Black |
This icon represents a person. For a person, the entry in the Type column shows whether the person can be paged. If a person can receive a page, the types of pagers assigned to the person are available in a list box. The pager type is the Class of Service (COS) assigned to the pager, such as SMTP or WCTP. The pager type must be selected before the page is sent. A specific pager cannot be selected. If a person cannot receive a page, the phrase MESSAGE ONLY displays as the device type. A page sent to a person with a MESSAGE ONLY device type can be retrieved by an operator or by that person in the Personal Profile screen in Smart Web. |

This icon represents a function. For a function, the entry in the Type column shows whether the function can be paged. If a function can receive a page, the types of pagers assigned to the function are available in a list box. The pager type is the Class of Service (COS) assigned to the pager, such as SMTP or WCTP. The pager type must be selected before the page is sent. A specific pager cannot be selected. If a function cannot receive a page, the phrase MESSAGE ONLY displays as the device type. A page sent to a function with a MESSAGE ONLY device type can be retrieved by an operator, and can also be retrieved by a person representing that function in the Personal Profile screen in Smart Web. |

On-Call Group |

This icon represents an on-call group. For an on-call group, phrase ON CALL GROUP always displays in the Type column in the screen. When an on-call group is selected as a page recipient, only the individual(s) currently on-call for that group is paged. If more than one individual in this on-call group is currently on-call, all those on-call are paged. If no one is currently on-call for the on-call group, the on-call group cannot be selected as a page recipient. A message displays to alert the user that a page cannot be entered or sent. |

This icon represents a message group. For a message group, the phrase MESSAGE GROUP always displays in the Type column in the screen. When a message group is selected as a page recipient, each member of the group is paged. |

Personal Message Group |
Blue |
This icon represents a personal message group. Personal message groups are listed in the Personal Message Groups section. A page can be sent to every individual in a personal message group or to a set of selected names. |
Scheduling Exception Icons
Scheduling exceptions are represented by icons, as described in the table below.
By default, Smart Web is configured to not allow a person or a function assigned an exception to be paged. However, your system may be configured to allow the operator to take a message for that individual. In this case, MESSAGE ONLY displays in the Type column, which signifies that a message can be taken for the individual and retrieved at a later time by an operator or by that individual in the Personal Profile screen in Smart Web. This icon signifies that the person or function has been assigned a page block. This person cannot be paged. |

This icon signifies that the person or function has been assigned a referral exception. A referral phone number for the person displays. |
Instructions Icon
The blue instruction icon displays next to a person’s name if the person is currently assigned an instruction of the SMART WEB instruction type. Click the icon to display the instruction.
This feature is configurable and may not be available for your system.

Send to All Devices Icon
The send to all messaging devices icon displays if the Send to all devices option has been selected for the individual’s listing record. When this option is selected and a page is sent, the page is sent to all available and operable pagers and email addresses assigned to the individual.
