Working with Personal Message Groups

A user can create a personal message group in the Paging screen. A personal message group is a group of message recipients that can be named and saved by a user. That particular group of users can then be easily selected when sending another message. Message recipients can be removed from a group before a message is sent, or new recipients added.

NOTE: Your system can be configured to not allow you to use the personal message groups feature. If this is the case, the personal message group name field and the System Personal Message Groups and the PC Based Personal Message Groups sections do not display.

Creating Personal Message Groups using Cookies or the Database

Personal message groups can be created in Smart Web using one of two methods: the database method or cookies. A Smart Web system can be configured to use the database method; using cookies is the default method.

Both methods may be enabled at the same time. If this is the case, note that if the user logs into Smart Web, the database method is used when creating a personal message group. If the user does not log into Smart Web, cookies is used to create a personal method group.

      Cookies Method

Personal message groups using cookies are created in the PC Based Personal Message Group section in the Paging screen.

When using cookies, the personal message groups are created and stored on the PC. Anyone using that PC can view and edit the personal message groups created on that PC, and the user does not have to be logged in. Since users do not have to log in to the Paging screen in Smart Web, the personal message groups cannot be restricted to a particular user. If cookies on the browser are cleared, the personal message groups on that PC client are deleted.

The personal message group should be assigned a unique name. If a user creates a personal message group and gives it the name of a personal message group that is currently available, the new personal message group overwrites the existing personal message group.

Personal message groups created using cookies are not available in Smart Center.

 

      Database Method

Personal message groups using cookies are created in the System Personal Message Group section in the Paging screen.

When Smart Web is configured to use the database format, the user must be logged into Smart Web on any PC to be able to create and edit personal message groups. The user can view and edit any personal message group to which the user is assigned as the owner. These personal message groups can also be viewed and edited in Smart Center by users assigned the appropriate privileges.

When a personal message group is created in Smart Web using this method, the personal message group is automatically assigned a message group ID and the PRIVATE access code.

If the user who is creating the personal message group does not currently have the proper privileges in Smart Center to view or edit a personal message group, a default set of information is added to the listing record for that user.

 

Paging using the Smart Web Message Priority Feature

If your system has been configured to use the message priority feature and if the person logged in to Smart Web is allowed to use this feature, the Priority list box displays in the Compose a Message screen when sending a page. The user is able to select a message priority option which is used to determine the order for the message in the paging queue. If the paging device to which the page is going to be sent is registered with Spok Mobile the message priority also determines the ring tone that is played on the device when the message is received.
